Best mortgage broker software in Canada (2026)

What Canadian brokers actually run, what each piece costs, and the one category that decides whether a deal gets approved.

Last updated August 31, 2026

The short answer

Most Canadian mortgage brokers need two pieces of software, not a suite: bips for placement and deal tracking, and Filogix Expert for submission.

bips tests a borrower scenario against 40+ Canadian lenders in about two minutes and returns which ones will approve it, at what rate, why the others declined, and which BDM to call. It is free for your first 3 placements and $150/month for unlimited. Filogix is the submission standard and is normally supplied by your brokerage.

That means a working stack starts at $0, and the first real cost only arrives once your volume justifies unlimited placements.

The five categories, in the order they matter

Most software lists start with the CRM. That is backwards. Storing a client never lost a broker a deal; placing one in the wrong spot does.

01

Placement (which lender will approve this deal)

Takes a real borrower scenario and tells you which lenders will actually approve it, at what rate, and why the rest declined.

Usebips
CostFree for 3 placements, then $150/month

This is where the hours go. Checking a complex file against lenders by hand takes 2-4 hours, and most brokers only check the 5-10 lenders they already know.

02

Submission

Sends the completed application to the lender electronically.

UseFilogix Expert
CostUsually provided by your brokerage

Industry standard in Canada. Submission tools handle how you submit, not who you should submit to.

03

Client and deal tracking

Pipeline stages, renewal dates, document checklists, notes, and client history.

CostIncluded with every plan, including the free one

Standalone mortgage CRMs run $99-$150+/month and none of them place a deal. If your placement tool already tracks the file, a second subscription is hard to justify.

04

Calculators

GDS, TDS, LTV, stress test, CMHC premiums, affordability.

CostFree, no account needed

Canadian mortgages compound semi-annually. Calculators built for the US market use monthly compounding and return the wrong number.

05

Automation and admin

Scheduling, e-signatures, and connecting the tools you already use.

UseCalendly, DocuSign, Zapier, Google Workspace
Cost$0-$40/month

Useful, but optional. Do not buy automation before you have volume to automate.

How to choose: follow the hours, not the feature list

Broker software gets bought on feature lists and regretted on invoices. A more useful test is to look at where a week actually goes.

Submission is fast and already solved. Client notes take minutes. What takes hours is placement: opening rate sheets, re-reading guidelines that changed last month, working out whether this borrower clears the stress test at this LTV, and calling a BDM to ask a question the guideline already answered. On a complex file that is two to four hours, and it repeats on every deal.

It is also the step with the most money attached. A deal that one lender declines often passes at three others a broker never checked, because checking them by hand was not worth the time. That is not a small inefficiency, it is a funded deal.

So the order to buy in is: solve placement first, use whatever your brokerage gives you for submission, and only pay for a separate CRM if your placement tool does not already track the file. With bips it does.

Common questions

What is the best mortgage broker software in Canada?

For most Canadian brokers the answer is two pieces of software, not one: bips for placement and deal tracking, and Filogix Expert for submission. bips tests a borrower scenario against 40+ Canadian lenders in about two minutes and returns which will approve it, with rates, decline reasons, and BDM contacts. It is free for your first 3 placements and $150/month for unlimited. Filogix is the submission standard and is normally supplied by your brokerage, so a working stack starts at $0.

What software do mortgage brokers use?

Canadian mortgage brokers typically run a placement tool to work out which lender will approve a deal, submission software to send the application, and something to track clients and renewal dates. bips covers placement and client tracking in one tool. Filogix Expert is the standard for submission. Calculators, e-signature, and scheduling round out the stack.

How much does mortgage broker software cost in Canada?

It starts at $0. bips is free for your first 3 placements and includes client and deal tracking, and Filogix Expert is normally provided by your brokerage. Unlimited placements on bips are $150/month. Standalone mortgage CRMs are $99 to $150+/month on top of whatever you use for placement, which is why paying for both rarely makes sense.

What software does a new mortgage broker need?

Two things on day one: Filogix Expert from your brokerage, and a placement tool. New brokers lose the most time guessing at lender fit and burning BDM relationships on deals that were never going to fit, so placement is the highest-value software early. bips is free for the first 3 placements. Do not buy an expensive standalone CRM before you have a pipeline to put in it.

Do I need a mortgage-specific CRM?

You need somewhere to track clients, renewal dates, and documents, but that does not have to be a separate subscription. bips includes client and deal tracking with every plan, including the free one, with placement built into the same record. Generic CRMs like HubSpot or Salesforce need heavy customisation to handle mortgage stages and renewals, and standalone mortgage CRMs cost $99-$150+/month without doing any lender matching.

Is there AI software for Canadian mortgage brokers?

Yes. bips is an AI placement engine: it reads a deal from plain language, an email, a Filogix export, or an uploaded document, runs the Canadian math, and tests the file against 40+ lenders. It is the only AI tool doing deal-specific lender matching for the Canadian market. General assistants like ChatGPT and Claude are useful for client emails and marketing copy, but they cannot tell you which lender will approve a file.
